Custom Event Entrance · Hilton Orlando
An Elevated Entrance to the Hello DMC Experience
An event can begin before guests reach the ballroom. At Hilton Orlando, a custom brick gateway, antique streetlamps and a boxwood hedge arch made the walk to the Orange Ballroom part of the event.

A Grand Entrance in Brick
For the Hello DMC Hearing Aid and Optical Divisions event, Florida Event Decor started the design outside the Orange Ballroom. Brick architecture, custom signage, greenery, and warm lighting made the arrival feel polished and welcoming, and tied it to the room ahead.
Guests first met a 10-foot-high, 20-foot-wide brick entrance around a six-foot opening. Four brick return sections finished the structure from every angle, so it read as real architecture rather than a doorway with a facade.
Two custom 3-by-3-foot signs were built into the header, putting the event branding in the structure itself. Four uplights raked the brick texture as guests approached, and greenery softened the scale so the entrance felt substantial without looming.

Details Along the Way
Along the guest path stood a six-foot directional post with five custom signs. It kept people moving in the right direction and still looked like part of the decor. Low foliage around its base tied it back to the greenery at the entrance.

A Classic Streetscape Feel
Brick, greenery, and traditional lighting gave the arrival a streetscape character. Two 7.5-foot antique streetlamps, each with three working light heads, added height and a warm glow. Faux ferns and spiral topiaries brought softer shapes around the entrance.
Guests had something new to notice at every step of the walk in, and nothing competed for attention.

A Greenery-Filled Transition
Inside the ballroom, a 12-foot-high, eight-foot-wide boxwood hedge arch framed the entrance to the event space, with a working gold chandelier hung at its center. Boxwood columns carried the natural look from outside into the room.
Moving from brick to boxwood gave the evening a sense of progression. Guests went from the architectural gateway to a softer ballroom entrance, and the two spaces still felt like one design.

One Experience From Arrival to Ballroom
The installations worked because they were planned as one guest journey. The brick gateway set the scene. The signage introduced the event and pointed the way. Streetlamps, ferns, and topiaries warmed the path. The hedge arch brought the greenery into the ballroom for a final focal point.
The same materials, lighting, and signage ran from one area to the next, so the experience unfolded naturally as guests walked through the venue.

Bringing the Details Together
Florida Event Decor handled same-day delivery and pickup at Hilton Orlando with multiple trucks and crew. The large architectural pieces were assembled and stabilized with jack braces, sandbags, and brick return sections. The chandelier ran on battery-powered bulbs and a dedicated 12V battery, so there was no visible wiring.
None of that was meant for guests to see. By the time the doors opened, the equipment and logistics were gone and the entrance looked effortless.

Designing the Experience Before the Room
The Hello DMC event shows how much an entrance can do before guests reach their seats: set the atmosphere, introduce the branding, guide people, and build anticipation. Here the brick gateway created the arrival, greenery and antique lighting shaped the walk, and the hedge arch carried it into the ballroom.
For conferences, galas, product launches, award banquets, and sales meetings, the entrance is where the event’s story starts. Planning your next event? Request a custom proposal and we’ll design an arrival around your event and your guests.
