With the right decor, an indoor space can capture the mood, the season, and even the nostalgia of a sunny summer day.
The brief: a room that feels like a breezy 77°F afternoon, whatever the weather outside.
That’s what we created for this backyard barbecue-themed reception at the Hilton Orlando Lake Buena Vista. The lighting and decor accents worked together to make the indoors feel fresh, inviting, and effortlessly charming.
String Lights That Flicker in the Air
Ambient lighting sets the mood, and a picnic-inspired setup needs string lights. Their warm glow instantly adds a nostalgic, cozy vibe, making any space feel intimate, enchanted, and safe. The soft gleam can spark memories of evenings gathered around candlelight or dimly lit corners where people come together to share stories, laughter, and connection.
Beyond their charm, string lights are incredibly versatile, allowing for creative arrangements that work just as well for casual gatherings as for sophisticated soirées. At Florida Event Decor, they’re one of our favorites because they blend function with style, delivering decor that sets the mood while encouraging guests to relax, interact, and enjoy themselves.
For this event, we suspended seven 40’ strands of incandescent clear bulbs on trusses wrapped in rustic burlap, with two fresh ferns at the base of each to enhance the natural, outdoorsy vibe. The result was warm and welcoming.
Traditional Picnic Tables
Taking center stage were our A-frame picnic tables, the ultimate picnic-inspired photo moment! Their sturdy construction makes them perfect for outdoor and indoors events. The built-in benches and rustic aesthetic foster a cozy, intimate atmosphere that’s ideal for family-style dining.
For this event, we set up eight A-frame tables, each seating six to eight guests. The communal, bench-style seating encourages conversation, helping guests mingle and connect naturally. A rustic aesthetic like this can make employees and clients feel more at ease than a formal setting. The style of furniture sends subtle messages about a company’s identity and values: rustic elements convey warmth, authenticity, sustainability, or creativity while offering a memorable, tactile experience that invites guests to slow down and connect.

Charming Centerpieces and Table Runners
To complement the natural, picnic-inspired vibe, we used rustic gingham checkered table runners, classic picnic charm at its finest. These were paired with cheerful Mason Jar Summer Sunflower arrangements, bringing warmth and a touch of the outdoors right into the venue.
The combination of table runners and sunflowers created a cohesive, inviting aesthetic, perfectly capturing the essence of a sunny backyard barbecue. The whole setup read as a picnic, making guests feel welcome, relaxed, and ready to enjoy the festivities.
